This Privacy Policy explains how ClientStream collects, uses, stores and discloses personal information when you visit our website, create an account, use the ClientStream application, contact us, or purchase a subscription.
ClientStream is designed for Australian sole traders and small businesses. Users may store information about their own customers in the service. The account holder remains responsible for ensuring that customer information is collected and used lawfully.
1. Information we collect
Account and business information
We may collect your name, email address, phone number, business name, ABN, business address, logo, website, communication preferences, invoice settings and other profile information you choose to provide.
Client and business records
When you use ClientStream, you may enter or upload client contact details, job information, quotes, invoices, payment records, expenses, reminders, notes, review links, communication history, files, photos and related business records.
Subscription and payment information
Subscription payments may be processed by PayPal or another clearly identified payment provider. ClientStream may receive transaction identifiers, subscription status, billing dates, payment status and limited account information required to manage your plan. We do not intend to store complete card or bank credentials.
Technical and usage information
We may collect browser type, device type, IP address, login activity, error logs, feature usage, security events and similar technical information needed to operate, protect and improve the service.
Enquiries and support
When you contact us, we collect the information you include in the message and any follow-up correspondence.
2. How we use information
We may use information to:
- create and secure your account;
- provide client management, quoting, invoicing, reminder, reporting and communication features;
- process and reconcile subscriptions;
- generate documents, exports and QR codes you request;
- provide Smart Write and other assisted drafting features;
- send service, security, billing and support messages;
- diagnose problems, prevent abuse and improve the service;
- comply with legal obligations and enforce our terms.
3. Smart Write and assisted drafting
When you use Smart Write, the text or instructions you submit may be processed by an artificial intelligence service provider to generate a draft. Avoid submitting passwords, payment credentials, health information or other information that is unnecessary for the message. Generated drafts should be reviewed for accuracy before use.
ClientStream does not intend for Smart Write to send customer messages without your review and action.
4. How information may be shared
We may disclose information to service providers that help us operate ClientStream, such as hosting, database, authentication, email, artificial intelligence, payment, monitoring, analytics and file-storage providers. These providers should receive only the information reasonably required to perform their services.
We may also disclose information where required by law, to protect users or the service, to investigate fraud or abuse, or as part of a business transfer subject to appropriate safeguards.
We do not sell personal information to data brokers or advertisers.
5. International processing
Some technology providers may process or store information outside Australia. Privacy and data-protection laws in those locations may differ from Australian law. We take reasonable steps to use reputable providers and appropriate safeguards, but cannot guarantee that all processing occurs within Australia.

Do not share passwords. Contact us promptly if you believe your account has been accessed without permission.

We retain account and business information while your account is active and for a reasonable period afterwards where needed for recovery, legal, security or operational purposes. Subscription cancellation does not necessarily delete your account or records.
Where available, you may export business records through the application. You may request account deletion through the application or contact process. We may retain limited information where legally required or reasonably necessary to prevent fraud, resolve disputes or maintain financial records.
8. Cookies and local storage
ClientStream may use cookies, browser storage or similar technologies for authentication, security, preferences, session continuity and essential application functions. Optional analytics may also be used where implemented and permitted.
9. Your responsibilities for client information
If you add information about customers, employees or other people, you must have a lawful reason to collect and use it. You should provide any required privacy notices, keep records accurate, restrict unnecessary access and avoid entering highly sensitive information unless the application explicitly supports it.
10. Access and correction
You may update much of your account and business information within ClientStream. You may also contact us to request access to or correction of personal information we hold about you, subject to applicable legal exceptions.
11. Children
ClientStream is a business service and is not directed to children. Users must be legally capable of entering into the agreement required to use the service.
12. Changes to this policy
We may update this Privacy Policy as ClientStream changes. The latest version will be posted on this page with a revised date. Material changes may also be communicated within the application or by email where appropriate.
